This document provides step-by-step instructions for using the Procurement menu in Colleague Self-Service to create purchase requisitions.

Step 1 - Log into Colleague Self-Service

Use the Google Waffle (also known as the app launcher) and select the icon for Colleague Self-Service

Step 2 - Select Financial Management

On the Colleague Self-Service home page, click Financial Management.

Step 3 - Select Procurement

From the Financial Management page, click Procurement.

Step 4 - Click Create and start a requisition

Select Create. Leave Document Type as Requisition; check the date and initiator. Enter the confirmation email and select Ship To.​​​​​​  Comments can be entered on the right.

Step 5 - Choose the vendor

Use Vendor ID to search by name or ID, then click the matching result. Check the AP Type shown below the vendor.

Step 6 - Enter the details for each line

Select Add Item. Enter a Description, Quantity, Unit, and Price; the Extended Price is calculated. Vendor Part is optional.

Step 7 - Choose the GL account(s)

Search the GL Account field by account number or description and choose the correct result. Select a Project if it applies.

Step 8 - Split the charge if necessary

Use Add GL Account for another account. Allocate the item by Quantity or Percent and review each Amount. The red circle removes an extra GL line.

Step 9 - Save the requisition

Review the GL distribution. Select Add Item only if you need another line item; otherwise select Save at the bottom right.

 

Step 10 - Find it later

A green message confirms the requisition number. On View, locate the new requisition and click its number to see status and approvers.

Note: The screenshots in this document are examples. The requisition numbers, vendors, amounts, and approver names shown may differ from what you see on your screen.
