How To Assign Students To Campus Orgs

By example: Assigning Students to the ASPFA Campus Org Group: Step 1 – Create a saved-list file of students in Colleague Open the Colleague UI In Colleague, at the top left search, type in SLED and enter. (to access the SavedList EDit content screen) Type in a saved-list name (i.e. ASPFA.17FASU). Select Add to create the new file.
Select the small icon to the right of line # 1. Open the Excel file containing the list of students. Select and copy only the column containing the student ids. (Note: Do not copy the field title). Go back to the SLED screen in Colleague and paste the student ids. Make sure that all student ids are 7 digits, including leading zeros if necessary. Make sure there are no blank lines Select Save. Click on the last page icon (see small picture below) to verify you have all of the students. Select Save or Save All.

Step 2 – Assigning students to the Campus Org In Colleague, type in AASM at the top left and enter (to access the Auto-Assign Membership screen). At the “Campus Org” field, type in the code name of the organization group you are interested in (i.e. ASPFA), and select enter. Change the Start Date to the begin date of the semester. (Note: Exact date not required). At the ‘Save List Name’ line, type the name of the previously created saved list file (ASPFA.17FASU). Select Save. Select Update. Note the number of records being processed. This should match with the number of records in your Excel file. Select finish.

Step 3 – Verify your work eg. Can run Campus Org Roster (CORS), or a different report you may use. Verify the students who were just assigned in Steps 1 & 2 above.
